Job Descriptions

Chairman
General
 Provide overall leadership to the Club and primary point of contact for members in relation to matters affecting the Club and its management and operation.
 Take note of any matter not already within other committee members’ responsibilities and take action as required.
 Devise and promote initiatives to develop the activities of the club in accordance with its constitution.
 Act as representative of the Club in dealings with third parties. In particular, MARS, other bridge clubs, Devon B.U., E.B.U., Committee and General Meetings
 Act as Chair of these, prepare agenda with the Secretary, ensure the following of proper committee procedure and the appropriate involvement of all members.
 Be aware of the roles of other officers, committee members and others as agreed by the committee or general meeting, and assist them, if necessary, in understanding and carrying out these roles, and liaising with them to ensure co-ordination and co-operation between them.
Hosting
 Receiving inquiries on-line and otherwise, particularly from potential members
 Welcoming members at club sessions and helping to find partners and/or places at the beginners’ tables
 Opening club sessions with a general welcome and other announcements before passing control to the Director for the day
 Being available to players as they leave sessions, particularly so as to be aware of any dissatisfaction or other problem at the earliest point possible and to receive suggestions for future sessions
 Trying to keep informed regarding members absent through illness or from other causes
Instruction
 As the club was set up as a place for learning bridge, making instruction available and giving it with others to those wanting to learn

Vice Chairman
General
 Assume the role of Chairman in his absence and perform his functions.
 Support, advise and assist the Chairman in fulfilling his role.
 Act as Director when required.
 Assist with the preparation of pre-dealt boards when required.
 Ensure that the correct pre-dealt boards are available at each session. Store the pre-dealt boards.
 Assist with teaching bridge to beginners/improvers as required.
 Ensure that the hall is ready, in all respects, for play to commence at 1300 on Thursdays.
 Support all other Committee members in fulfilling their roles.
 Encourage players to join Modbury Bridge Club.

Treasurer
General
 Organise the collection of the weekly table money, ensuring that it is reconciled with the attendance sheet.
 Check the monies received and reconcile any differences.
 Record entries into a spread sheet.
 Pre-sort the monies and bank at the Modbury Post Office.
 Pay Club invoices electronically and in a timely fashion.
 Place orders, as required by the Committee, for necessary bridge items.
 Arrange Club insurances.
 Produce accurate financial accounts as required by the Committee.
 Check the Bank account regularly to show that the funds shown are accurate.
 Keep all documents in files for methodical access and ease of checking by a third party. If electronic, print off for storage.
 Attend Committee Meetings and the AGM.
 Review annually the amount charged as Membership subscription, Member table money and visitor table money.
 At the AGM present the annual income and expenditure forecasts and accounts. Answer accurately all questions from members.
 Liaise with Lloyds Bank as required.


Club Secretary
General
The principal role of the Club Secretary, who is one of the Officers of the Club and, as such, is a member of the Committee, is to attend meetings of the Committee and of the members, take notes and prepare and circulate the minutes. More specifically:
 The Secretary will, liaising with the Chairman, prepare the agenda for Committee meetings and the Annual General Meeting of the members (as well as any other special meetings of members which may be convened). In the case of the Annual General Meeting the Secretary will also collate the reports to be presented to the Meeting, such as the Treasurer’s Report.
 During Committee meetings and Annual General Meetings the Secretary will take notes in order to facilitate the preparation of the minutes.
 The Secretary will prepare and circulate minutes of all meetings, to the members of the Committee (in the case of Committee meetings) and to the members (in the case of the Annual General Meeting and any other meeting of the members).


Website Administrator/Scorer/Dealer
Website Administrator
 Keep the Club’s Website up to date.
 Co-ordinate the membership list with the Membership Secretary.
 Add and delete as requested by members of the Committee.
Scorer
 After each duplicate bridge session collect the travellers from the Director.
 Enter the scores into the Scorebridge program.
 Transfer the scores onto the Club’s website.
Dealer
 Ensure that pre-dealt boards are prepared for each session.
 Load the relevant file/s onto the Website.
 Co-ordinate dealing sessions with Kingsbridge Estuary Bridge Club.and Kingsbridge Regal Club


Membership Secretary
General
 Ensure the membership list is kept up-to-date.
 Maintain a record of member’s details.
 Provide players who wish to join the club with an application form.
 Display completed application form for two meetings. If there are no objections, to welcome the new member and request the joining fee.
 Collect table monies at the Thursday meetings, reconciling that with the attendance sheet.
 Complete a form accounting for the monies collected and any payments for tea, coffee etc.
 Hand monies to the Treasurer.


Online Bridge Co-ordinator
General

Maintain the WhatsApp 'Modbury Bridge Club Online’ page. 
Promote the Online Club generally and add new members when they request to join.

Every Thursday morning ask for players for Sunday games. Every Monday morning ask for players for Wednesday games.
Organise tables (a fair field and no favour).

If players miss out because we are unable to make a four then they will get priority the following week.
Maintain a spread sheet noting requests to play and players to ensure and maintain fairness.
Explore other possibilities e.g. asking players to play twice at different times, etc to accommodate other players who might miss out.
Ensure players know how to use Bridgebase.
Encourage players to host.
Instruct players on how to host.
 Ensure all players know what to do if their host is suddenly evicted.
Advise players on how to review their games on Bridgebase after playing.

Chief Caterer
General
 Co-ordinate the purchase and provision of weekly refreshments.
 Organise other ad hoc events as requested by the Committee.
 Supervise players so as to ensure that the kitchen and any equipment/ utensils used and the kitchen are left in a clean and hygienic state.
