Roles of the Management Committee, Officers and the Custodian
It is the role of the management committee as a whole to ensure that the Club does what it was set up to do, is well run, uses the Club’s money appropriately & effectively, and does not get into debt.
The committee is responsible for day to day management of the Club, including developing policies and practices for the Club, dealing with disciplinary matters in the first instance, managing premises and equipment, fundraising, and for taking out appropriate insurances. Some specific roles are set out below; committee members may undertake various responsibilities depending on their individual knowledge & expertise.
The key roles of the Chair -
To promote the aims of the Club
To oversee the activities of the Club to ensure that they are conducted in accordance with the rules and constitution of the Club
To chair meetings
Help the committee to work together as a team
To be the main contact person for the group
The key roles of the Secretary -
With the Chair, agree agendas for committee and general meetings
Ensure appropriate notice is given of meetings etc.
Take minutes at the committee and general meetings
Keep people informed about the Club’s activities
With the Chair, receiving and respond to information, emails and letters
The key roles of the Treasurer -
Have an overview of the Club’s financial situation
Keep the committee informed of the financial situation and provide information to help the committee make informed decisions
Keep financial records for the Club and prepare an annual financial report for members
Liaise with the EBU on Pay-to-Play and other financial & administrative matters
The key roles of the Custodian (who is not a member of the management committee) -
On the instruction of the Chair, to appoint an appeals panel in accordance with the Club’s disciplinary policy
To chair any disciplinary appeals hearings, or appeals against a refusal of a membership application, and lead the panel on deciding appropriate action
To take advice about disciplinary matters as necessary
With the Secretary, ensure that all parties to appeals hearings are notified of the outcome
