ANNUAL GENERAL MEETING

REPORTS & ACCOUNTS and

COUNTY NEWS LETTER

***

Autumn 2011

Minutes of the 64th Annual General Meeting of the ECBA, held on Saturday 7th May 2011 at Little Baddow Memorial Hall.

Present:      Mrs M Curtis (Hon President), R Green (Hon Vice-President), J Williams (Hon Chairman), Mrs A Hartley (Hon General Secretary), A Philpott (Hon Treasurer), E Cockle (Hon Tournament Secretary), B Hunt (Hon League Secretary), Officers and members of the committee and 37 members of the association.

Apologies for absence: There were no apologies for absence.

1.     Hon Chairman’s Opening Remarks

Mr John Williams opened the meeting by welcoming those present and introduced Mrs Audrey Hartley as Hon General Secretary elect who would be taking the minutes of the meeting.  He reported the death of our Hon President, Mrs Teddy Schram who had died during the year and followed with the announcement of the appointments of Mrs Margaret Curtis as Hon President and Mr Richard Green as Hon Vice-President.  Other changes were the retirement of Mrs Margaret Curtis (Hon General Secretary), Mrs Jill Tattersfield (Web Master) and Mrs Wendy Coldham (B-team Captain) and he thanked them for their hard work.

In his first year of office he had been able to visit 12 affiliated clubs and had some interesting discussions with the members.  He hoped to visit more in the coming year.

He had established 5 working groups looking at different aspects of the committee’s responsibilities; a) events, b) team selection, c) organisation, d) best behaviour at bridge, e) education.  These groups were progressing well and preparing reports and actions for the committee.

He had witnessed the beginning of Pay-to-play and how it was implemented; members of the committee were actively working on: an ECBA website magazine; more competitions for the average club member; a simultaneous pairs for the Olympic year; and general help for club players to play better bridge.  He finished by thanking all members of the committee for their hard work during the past year.

2.     Minutes of the last meeting

These had been circulated to all members and were taken as read.  The acceptance of the minutes was proposed by Mrs Stephanie Burtt and seconded by Mrs Catriona Lovett. They were agreed to be correct and signed by the Chairman.

3.   Matters arising

Item 5 c): Entries were now more regularly updated on the Website.

Item 5 a): We would need to continue using Navestock Side Village Hall for our larger competitions as it is the largest hall available, is cheap to hire and has excellent parking.  There is nothing that can be done about the lighting, it is affected by the mains electricity and the power surge when the nearby restaurant switch on its ovens

Item 7: Mr Bernie Hunt had looked into the suggestion that the East/West dividing line should be scrapped and all league teams formed into one league.  He felt that the great distances between the extremities of our county made this not feasible.

4.     Hon Secretary’s Report

This is attached in full.  Its adoption was proposed by Mr Richard Green, seconded by Mr Sandy Riach and agreed by the meeting.  The Chairman thanked Mrs Curtis for her hard work over the years and for her report.

5.     Hon Tournament Secretary’s Report

This is attached in full.

Its adoption was proposed by Mr Alaric Cundy, seconded by Mrs Mary Homer and agreed by the meeting.  The Chairman thanked Mr Cockle.

Note A: No direct financial sponsorship was received in the 2009/2010 or 1010/2011 season.  Lionel Wernick kindly provided posters for the clubs advertising County competitions.

Mr Tony Philpott explained that in the Balance Sheet we can see an excess of Income over Expenditure of £841 recovering approximately half of last years loss. In addition we have created a Tollemache Reserve Fund of £1000. The County had been unable to field a team in the Tollemache last year so it was decided to put aside the money we would have spent to allow for future additional expenditure when hopefully we qualify for the final.

In the Income Account our income for the year increased from £6797 to £7152 notwithstanding receiving virtually no interest income due to low rates and a reduction of £245 in the contribution from the Joint Event with Herts. Improvements were seen in Subscriptions, Competitions and Leagues even though we have to pay £5 per team for knockout events and leagues. This is really in lieu of Local Points but a word of caution for the 2012/2013 Season. We understand that the EBU will be introducing P2P to all County Competitions at 50% of the normal rate.

Our Expenditure has been drastically reduced this year from £8440 down to £5311. There are many factors involved but the key ones are:- We no longer have to buy Local Points following the introduction of P2P and Stationery, Postage, printing and Telephone cost are down as we increasingly move to email and website communication.

This year’s AGM has been itemised separately to mark Margaret Curtis's retirement. If you cannot put on something special after 55 years of service when can you.

Overall we have had a very satisfactory year with a surplus of £841. Looking to the future we need to continue to focus on trying to reduce our costs especially against the background of rumours that the EBU will be looking for possibly significant increases in P2P for 2012/2013.

The adoption of the Treasurer’s Report was proposed by Mrs Jill Hair, seconded by Mr Cecil Leighton and agreed by the meeting.  The Chairman thanked Mr Philpott.

7.   Subscriptions 2012/2013

The County part of the P2P subscription for this coming year would be 7p which is a reduction of 2p from the year before.  Mr Tony Philpott proposed that the figure for 2012/2013 should be set at a maximum of 7p but that we would make every effort to reduce this.  This was seconded by Cecil Leighton and agreed by the meeting.

8.     Hon League Secretary’s Report

This is attached in full.  Its adoption was proposed by Mrs Jill Tattersfield, seconded by Mr Patrick O’Gara and agreed by the meeting.  The Chairman thanked Mr Hunt.

9.   Election of officers

The following have been proposed and seconded for the vacant offices:

Hon General Secretary      - Mrs J Audrey Hartley            Hon Web Master     - Mr Sandy Riach

As there were no other candidates they were elected.

10.  Any Other Business

Mr Tony Philpott proposed a vote of thanks to Mrs Margaret Curtis for her 55 years of dedicated service to Essex and English Bridge.

Mr Cecil Leighton proposed a vote of thanks to the Chairman Mr John Williams.

There was no further business and Dr Williams closed the meeting

The trophies and prizes were presented by the new President, Mrs Margaret Curtis and she received a bouquet of flowers with thanks.  This was followed by a meal for 48 members of the association in honour of Mrs Margaret Curtis and her 55 years of service to Essex Bridge.  The evening closed with a short game of bridge.

Hon Secretary’s report – 2010/11

2010 – 2011 has perhaps been the most challenging year since I took over as secretary those many years ago.  Then the membership was about 250, there were no affiliated clubs, only county run duplicate sections, and very few competitions.  This has been the year of the introduction of P2P, and has not proved popular with many clubs.  Affiliated membership has shrunk from 56 to 29 over a two year period, a big loss, and one that is much regretted.  Obviously, our individual membership has grown – we now have 1727 full members, and 178 Bridge for All members.  However, whilst it is obvious that these members contribute in no small way to their clubs’ and county funds, there is very little growth in the competition entries.

On the county side, for the first time ever we were unable to field an A team in the Metropolitan Cup, and a team in the Tollemache Qualifying Round – players not making themselves available.  The Eastern Counties League results were mixed – the A team starting the season well, but finished poorly.  However, both the B and C teams were second in their divisions, the C team very narrowly missing out qualifying for the national final for the third time in a row.  Thanks are due for the sterling work done by Wendy Coldham and Maureen Vede, without whom things would have been even more challenging for me.  Thanks are also due to Jill Tattersfield for the splendid refreshments at home matches – away team captains are fulsome in their praise, and wished she belonged to their counties.  Both Wendy and Jill have retired this year, and both will be a difficult act to follow.  Thanks are also due to Essex Captain, Paul Spencer, for his long time work, and also as an Essex delegate to the EBU Council.  Individually, once again many players did well at congresses and one-day events up and down the country.  However, special mention should be made of Nicole Cook, 4th in the Lady Milne Trials, and winners: Marion Cook and John Birch in the Jersey Congress Mixed Pairs; Chris and Sue Taylor and Linda Fleet in the Sussex One-day Swiss Teams; Chris and Sue Taylor in the Shrewsbury Congress Swiss Pairs; Manny Marks in the Eastbourne Summer Seniors Swiss Pairs; Winnie Godber and John Stimson in the Hertfordshire One-day Swiss Teams; and Theo Todd and Colin Scott in the Felixstowe Congress Open Pairs.  Other excellent results were Richard Register and Alan Cohen 2nd in the A Final of the Eastbourne Summer Seniors Congress Swiss Pairs and Jack Lapszys and Manny Marks, 2nd in the Surrey One-day Swiss Teams.

Ted Cockle, our Tournament Secretary will give you a report on the county competitions, but one is still separate – the Green Pointed weekend shared with Hertfordshire.  This is held in July at Ware, and has continued to do well.  Swiss Pairs on the Saturday attracted 109 pairs and on Sunday 49 teams took part.  This brought in £825.00 to the county funds, and we were still able to put £200 as a deposit for this year.  Hertfordshire invited Essex to share a weekend in September 2011 and onwards, and this would benefit both counties.  We applied to the EBU for 2011 and 2012, but were turned down as Surrey was unwilling to accept this, their reason given as our “close” proximity and their possible loss of revenue.  Your shareholders appealed at the meeting in April; with no better success.  Essex will be applying in 2013 and hopefully will be successful.

A very productive meeting for representatives of affiliated clubs was held in September, mainly to discuss issued raised by the EBU.  Those present felt that it is unnecessary to have a special representative to attend regional meetings, and are happy for a committee member to attend, and look after their interests.

Education is one of the keywords for the future of bridge.  The EBU appointed a new education “supremo” and a survey was done and meetings held.  Alaric Cundy attended one on our behalf, but so far there has been little further progress.  Alaric also does his own survey each year of teachers/pupils in Essex, and this shows a lot of learners, who unfortunately do not compete in the competitive side of Essex bridge.  Most newcomers these days are content with the social side of bridge, particularly daytime clubs and charity drives, which are very popular.  The Novice event was again poorly supported, and the Committee is thinking of new ways to attract entrants.

Your county has been served on the EBU shareholders’ meetings by three members – Dick Green, Ian Moss and me.  Again this year has been of great interest and relevance to the counties.  Of prime importance has been the effects of P2P and the EBU finances, the new initiatives in bridge education, the regional club committees – both already mentioned – the possible demise of BGB and what it will mean.  Your shareholders supported the lowest proposal for P2P for 2011/2012, to help the affiliated clubs, but counties are warned that a higher fee can be expected for 2012/2013.  Unfortunately, Ian Moss cannot continue, and many thanks are extended to him.

The new website has attracted many members and competitors are reminded that unless requested, the competition programme is no longer being printed, but will be on the web.  All results and county matches are available in the same way.  Jill Tattersfield has decided to retire this year, after setting the website up, keeping it going over the years, for providing the copy for English Bridge, and supplying me with paper copies of everything I needed.  Very, very many thanks, Jill.

We have been very fortunate over many years having posters twice a year, sponsored by the Wernick Group.  Now, Lionel Wernick has ceased playing bridge, and has decided to withdraw that sponsorship.  Our grateful thanks are due to him, and we wish him well.

As you are aware, this is my last AGM as secretary.  This was a post I did not volunteer for.  As some of you will know the first secretary and founder member of the association, Frank Fletcher, was unable to carry on, and when his wife Tricia, told my mother this, she brightly said Margaret will do it!  She promised to help and this she did the rest of her life.  Also, my father had been a delegate to the EBU Council, so that you can see that I have been extremely fortunate at home, and to have worked with so many committee members who have put a great deal into Essex Bridge.  This also includes my husband, George, who was Tournament Secretary and Eastern Counties League Captain for many years.

Personally, I feel I have got as much out of this as I have given; making many friends.  I am extremely proud to be appointed President of the Association, and will continue to do all I can for Essex Bridge.

Margaret Curtis

Hon Tournament Secretary’s report – 2010/11

It is pleasing to report that the total number of pairs competing in Essex events (excluding the leagues) has been increasing; the number of pairs for the last three years was 428, 442 and 481 respectively.  The figure for 2009 does include 36 pairs who entered the Swiss pairs but which we had to cancel at the last minute because of the snow.  I personally do not take any credit for this increase.

Some of this increase is due to play with an expert, which is a new event we introduced in 2009/2010.  This has proved very popular with non-experts and the experts in the two years we have run it.  The three senior day-time competitions are proving very popular.  The format for this competition is a single session in the day-time with a break for lunch; which makes for an excellent social occasion but with a high standard of bridge.  Already, for the forth coming Summer Seniors, in July, eighteen pairs have entered, that is because there is a limit of 26 (or perhaps 28) at the Thorpe Bay Bridge Club; at the Spring Seniors there were 38 pairs.  Last year we had to cancel the mixed teams because we didn’t have enough entries to run the competition.  So this year we changed the entry requirements for this competition so that a team only had to include at least one lady and at least one gentleman: I’m pleased to say that 12 teams have entered the competition.  As far as the rest of the competitions go, most have seen an increase in members with just a couple of events where there has been a decrease.

Over the past year more people have been entering competitions via email; these either come via our website or normal email.  From an administrative point it’s easy for me to confirm that I have received the entries but the downside is that on the day someone has to collect the entry fees and that is normally a lot of money!  We have been looking at the possibility of electronic payments but I’m not sue if this will be very popular!  This year I have introduced an email reminder facility for future Essex bridge events; I send out a reminder about three weeks before each Essex competition but I only send it out to people who have signed up.  So if anyone is interested just let me know and I will include them on the list.

Ted Cockle

Hon League Secretary’s report – 2010/11

May I begin by thanking Roger and Jill Tattersfield for making the handover so easy and being there when I needed help.

Apart from one all matches were completed by 29th April.

There have been some really good performances in all divisions

In West Essex Division 1: Waltham Foresters have won the division comfortably scoring 99/120VPs having finished fifth last season, and Loughton Cookies had a really good season finishing second

In West Essex Division 2 Hatfield Heath also scored 99/120 and in the process beat the winners and runners up from last year’s first division

In South East Essex Division 1: the outcome is not yet resolved as there is one match to play. Current leaders are Taylor’s Dummies on 69/100 second are May & Baker on 58/100 third are Barleylands on 54/80. The Barleylands team have one match left to play. This is the blemish on the season as normally all matches should be played before the AGM.

New rules for next season will be drafted and proposed at the next committee meeting (July 2011). These will include penalties for teams failing to fulfil fixtures before a “Play by” date.

The South East Essex Division 2: saw the most incredible performance by Lady and The Tramps who won with 110/120 VPs. The runners up were Chelmsford Green

South East Essex Division 3: was won by the Academics with 82/100 and the Runners up were Heartstoppers

May I thank all the team captains who have been really efficient e-mailing me their results.  Due to their efficiency the web pages have been updated within 24 hours of the match

Finally an advertisement: We currently have 10 teams in the West and 20 teams in the South East.  I am optimistic that this will increase next season.  A team game is the ultimate form of the game.   If you do not play in the league give it a try, see me for details.
