TBBC APPLICATION FOR MEMBERSHIP

We confirm that the Thorpe Bay Bridge Club [TBBC] undertakes to collect and use your personal data in compliance with the GDPR. Our legal basis for processing your data is our legitimate interest as a bridge club – we use the data for the administration of your membership and the communication of session results, information which is uploaded to the EBU, and for the organisation of events for members to participate in. The data is shared only with the EBU, the governing body of the game of duplicate bridge and the ECBA – Essex County Bridge Association, TBBC’s primary county bridge association. The club database is password protected and only the committee members have access to all areas. The website is managed by the IT Officer, who is a member of the committee. A limited amount of your information is listed in the EBU’s database for scoring purposes.

1. What Personal Data Does TBBC Hold

As defined in the TBBC Privacy Policy: Name, Address, Email Address, Mobile Telephone Number, Landline, Date of Joining, EBU number

2. Who is Your Data Shared With

Your membership is passed to the EBU – you automatically become a member when you join TBBC. The EBU shares data with its associated charity, English Bridge Education and Development (EBED) since it shares offices and data systems with them and with ECBA (Essex County Bridge Association) or any other county that you may be affiliated to. Your personal data is not passed on to any organisations other than those specified above.

3. Who is Responsible for Ensuring Compliance with the Laws & Regulations

The IT Officer of the Thorpe Bay Bridge Club and committee are responsible for ensuring that your data is responsibly and securely maintained. The IT Officer will endeavour to ensure that a password protection protocol is adhered to by committee members and that the back-up procedures for the data held on the system about you is securely stored off site.

4. How Can the Information Held on The System be Checked

The Club acknowledges that there are members who do not have email addresses and those members will be contacted by post, telephone or mobile. You may, at any time, contact the IT Officer to seek confirmation/information regarding the data held on the system about you.

5. How Long does The Club keep Data

The data held by the Club is held for as long as you are a member. Unless you specifically ask for your information to be removed from the system, this will remain as a lapsed member for up to six months. In the event of the death of a member any data held will be removed from the Club system.

6. Removing Data, Limiting Data or Correcting Data

You may become an anonymous member, and this would involve you having a pseudonym with an EBU number under which you would play, if you do this, however, you will not be able to access any EBU membership benefits such as playing in EBU tournaments or receiving the magazine.

You can maintain your Club membership with limited information – however, we do require at least one method of contacting you.

Once you have registered on the system as a member you have control over your information and may change or correct it at any time, alternatively, you can email any changes to a committee member, and they will make the necessary changes for you.

7. TBBC Privacy Policy

Thorpe Bay Bridge Club has a committee made up of volunteers and they have followed the recommendations and guidelines of the EBU to ensure that members of the Club are protected and that your details are held in accordance with the EU General Data Protection Regulation 2018,

8. Payment to join the Club consists of: 

   a) A one-off £10 Club joining fee, and; 
   b) £10 Annual Membership Subscription which is payable annually

So, unless stated otherwise, the Member Joining Fee total is £20, including one year's Club membership starting on 1st January for the current year.
