Minutes of Annual General Meeting

Acceptance of Minutes of AGM held on 6th July 2015:
The minutes were accepted unanimously.

Chairmans report given by Debbie Welch:
Debbie confirmed she was stepping down after 3 years and thanked her committee for all their hard work.
She was very pleased with the success of the annual End of Season event which raised a total of £208.
Debbie thanked Jane Carrington for supplying the cakes and Chris Malthouse for running the event.
Debbie also hoped that all teams would be able to re-enter the league in the next season.
Treasurers report given by Sid Downton:
Sid also confirmed that he was stepping down after 5 years but was pleased that Pat was nominated to take over the role.
Sid confirmed a healthy bank balance of £608.26 as of 31.03.2016
Conduct Chairmans report given by Peter Baines:

Presentation of prizes:
Jim Shoesmith received the division one shield on behalf of Daventry Dragons
Pam Southern received the cup for division two on behalf of Rugby Rabbits
Val Wormleighton received the cup for the knockout competition on behalf of Rugby Eroes
David Edwards received the cup for the handicap competition on behalf of Rugby Jokers
Liz Edwards was presented flowers by Debbie Welch
Motion to amend the constitution given by Peter Baines:
Peter Baines read aloud a report that he had received a written, signed motion to amend the constitution to the document prepared by JB/PB 23.5.2016.
Team Captains have received the proposal and have been asked to forward to their team members.
Peter had received one concern from Graham Lightfoot which all TC’s received. That concern was addressed and again all TC’s were advised of the outcome.
The new constitution is largely a tidy-up but does include 2 new proposals that 3 officers may fill 4 offices and that there is no fixed term for the Chairman.

New rules 2016-17: Registration, fixtures meeting, significant dates given be Peter Baines:
Peter reported that the committee agreed that the rules of the competition needed reviewing. Team Captains have been sent an initial and subsequent draft and been asked to forward to their team members. Further to feedback from 5 teams captains and two committee members, the new rules are very close to being finalised. This will be done by the new committee and TC’s will receive a detailed covering letter.
Registration for the new season must be by 7 August 2016.
Registration for open cup at the same time but no later than 01 September 2016.
Guideline match schedules will be sent to TC’s by 21 August and fixtures can be arranged immediately.
Registration for handicap competition by 07 December 2016.
Peter asked for a better spirit of co-operation and asked that all TC’s or their deputies attend the Fixtures meeting on Monday 5 September.
All divisional fixtures must be arranged and on the website by 01 October 2016.

Anne Carrington was again elected as Examiner and Sid expressed his gratitude to her (non committee)
Liz Edwards will continue as webmaster (non committee)
Finally Peter Baines thanked the committee and John Bolton for his efforts in rewriting the disciplinary paper, handicap competition, constitution and framework of the new rules.
