Minutes of Meeting held at Fenley Field on 21st August 2014.

The purpose of the meeting was to discuss in principle a proposition to enter into a joint venture with Laurentian Sports Club to build a Function Room at Fenley Field where Rugby Bridge Club would contribute the funds available for such a purpose, to the joint venture.
Papers had been previously circulated, which gave details of the discussion that had already taken place with the Sports Club and included a draft Licence Agreement with the Sports Club on the lines of
one previously prepared associated with the Community Hall at Cawston. A basic plan of the proposed development was also made available.
It was established at the start that the land at Fenley Field was owned by the Old Laurentian Society, the responsibility for the management of the site and buildings and membership of the various sporting clubs using the facilities at Fenley Field were vested in Laurentian Sports Club.
Discussions followed and all present were in favour of the talks with the Sports Club continuing.
It was agreed that the Chairman would prepare a short statement for inclusion on the Club’s Web Site and the opportunity would be taken to announce the decision taken by the Committee at the weekly sessions.
Mention was then made of the need to give consideration as to when it would be opportune to call an EGM. It was the view of the Committee that this could not take place until detailed plans were available, planning permission had been granted or applied for, agreed costs for the build were in place, funding required had been agreed and an agreed licence agreement was in place.
The question was then posed as to what would happen if the Sports Club were to go into administration and would the Club’s investment be protected. It was agreed that the issue would be raised with the Sports Club and a legal view obtained.
It was confirmed that within the draft licence agreement was provision for the Club to pay a membership fee for all Bridge Club members and this applied to all members of other clubs using the facilities at Fenley Field. The fee it was said currently stood at £10.
Discussions then turned to the question of car parking and it was said that within the proposed plans would be provision for an extension to the present parking facilities, including disabled facilities.
On a question of utility costs the view was expressed that these could be in the region of £2,000 per annum and there was the likelihood of there being some minimal costs for cleaning.
It was agreed that the Sports Club would be asked to provide financial information in the form of audited annual accounts and the Club would also make their recent ones available to them.
On a question of when the proposed facilities would become available it was said that the Sports Club were looking to April 2016 for completion.
Next meeting to take place on the 15th October 2014, at 28 Dickens Road commencing at 1900 hours.
