Constitution
Monday Bridge Club

 

NAME

1.                    The name of the Club shall be the “Monday Bridge Club”.

OBJECTIVES

2.             To provide facilities for Members to enjoy Duplicate Bridge on a friendly and regular basis.

3.             To further the growth of the game at all levels of ability.

4.             To promote regular competitions.

5.             To obey the laws as laid down by the English Bridge Union.

MEMBERSHIP

6.             Any person wishing to apply for membership, must have previously attended on three occasions.

7.                Applications must be in writing and proposed and seconded by existing Members.

8.             Once received by the Secretary, the application must be displayed on the notice board for three consecutive bridge evenings. 

9.             The acceptance or rejection of an application shall be at the sole discretion of the Committee. 

10.           The applicant will be informed in writing of the Committee’s decision. 

11.           In the case of acceptance, the applicant will be offered membership as vacancies arise.  Applications from previous members may be given preference.  

12.           A member of the Club may apply for leave of absence in particular circumstances.  During this period the member shall be required to pay twenty five per cent of the annual subscription pro-rata, for the period of absence. 

TERMINATION OF MEMBERSHIP

13.           The Committee shall have the right to terminate an individual’s membership of the Club where it considers it is justifiable in the interests of the Club to do so provided that the Member has been given the opportunity to be heard by the Committee before the decision to terminate has been taken.

MANAGEMENT OF THE CLUB

14.           The Club shall be managed by a Committee, ideally consisting of Chairman, Vice-Chairman, Secretary, Treasurer and five elected members.

ELECTION OF THE COMMITTEE

15.           The Chairman, Vice-Chairman, Secretary and Treasurer shall be elected annually at the Annual General Meeting of the Club. 

16.           An elected Member shall serve for two years after election but retiring Members shall be eligible for re-election.

17.           The Committee may co-opt a Member of the Club onto the Committee to fill a casual vacancy.  The Member so co-opted shall remain on the Committee only until the next Annual General Meeting when that Member shall become eligible for election.

SUBSCRIPTIONS

18.           Each Member shall pay the subscriptions approved at an Annual General Meeting.

19.           The annual subscription shall be due on the 1st April.  Any Member whose subscription has not been paid within one calendar month of the due date shall cease to be a Member – this rule can be waived in special circumstances but only at the sole discretion of the Committee.

GENERAL MEETINGS

20.           The Annual General Meeting shall be held during March in each year.  No proposal to amend this Constitution shall be considered at such a meeting, unless notice thereof is given to the Secretary in writing at least six weeks previously and is advertised on the Club notice board at least two weeks prior to the Annual General Meeting.  Any other business may be included in the Agenda, provided notice has been given in writing to the Secretary at least four weeks prior to the Annual General Meeting and is displayed on the Club notice board for at least two weeks.  Committee nominations for the following year should be in writing at least fourteen days prior to the meeting.  All nominations should be proposed and seconded after obtaining the nominees’ consent.

21.           A general meeting held other than an Annual General Meeting shall be called an Extraordinary General Meeting. 

22.           The Committee may convene an Extraordinary General Meeting whenever they consider it necessary and must also convene same if requested to do so in writing by not less than twenty per cent of the membership.

23.           General Meetings can be called by giving at least fourteen days notice in writing and the notice convening same shall be served on each Member specifying the place, date and time of the meeting and, in the case of special business, the general nature of the business to be discussed shall be given in the notice.

PROCEEDINGS AT GENERAL MEETINGS

24.           No business shall be transacted at any General Meeting unless a quorum of membership is present at the time when the meeting proceeds to business.  Members unable to attend may vote by proxy, prior to the Annual General Meeting by writing to either the Chairman or Secretary.

25.           Fifty per cent of the membership of the Club shall constitute a quorum.

COMMITTEE MEETINGS

26.                Committee Meetings will be held as regularly and often as necessary to properly conduct the affairs of the Club.

27.           A Committee Meeting shall be called by giving at least seven days notice in writing.

PROCEEDINGS AT COMMITTEE MEETINGS

28.           No business shall be transacted at any Committee Meeting unless a quorum of the members of the Committee is present at the time when the meeting proceeds to business.

29.           Five members of the Committee will constitute a quorum.

30.           The decisions reached in Committee are binding on all Members of the Club unless and until such decisions are discussed and subsequently changed at a subsequent Committee Meeting.

FINANCE

31.           The Treasurer shall keep proper accounts and shall prepare an audited Income and Expenditure Statement for the year since the last proceeding Statement and shall present same at the Annual General Meeting in each year.

32.           All monies raised for and on behalf of the Club shall be applied to further the objects of the Club and for no other purpose.

VISITORS

33.           A visitor must be introduced by a Member and shall not be permitted to attend more than five Club meetings in any one year.  If a visitor is invited to deputise for a Member on the occasion of special competition events, e.g. a Teams event this shall be in addition to the stipulated maximum yearly attendances.

34.           The introducing Member shall introduce the visitor to a Committee Member and the visitor must sign the visitors’ book and pay the fee approved at an Annual General Meeting.

DISSOLUTION

35.           In the event of the formal dissolution of the Club all surplus assets shall be disposed of as determined by a majority of at least fifty per cent of the Members at a general meeting of the Club.

MODIFICATION OF THE CONSTITUTION

36.           No amendment, omission or addition shall be made to the Constitution except by a resolution carried by a majority of at least fifty per cent of the Members at a general meeting of the Club.  The notice convening the general meeting must give the full details of any proposed amendment, omission or addition.  At least 21 days notice should be given and notice should be displayed for a least two Mondays.
