Lewes Bridge Club Privacy Notice

This privacy notice sets out how the Lewes Bridge Club (LBC) will deal with members’ ‘personal information’, that is, information that could identify a member directly or indirectly, in line with the General Data Protection Regulation (GDPR).

What is the legal basis for collecting this information? 
LBC collects personal data that is necessary for the purposes of its legitimate interests as a membership organisation and participant in an internationally recognised and regulated, competitive mind sport. For some data, such as that relating to financial matters, the basis for its collection and retention is to comply with our legal obligations. 

The LBC is affiliated to: the English Bridge Union (EBU), the national governing body of the game of duplicate bridge; the club’s county bridge association the Sussex County Contract Bridge Association (SCCBA); and the EBU’s associated charity, English Bridge Education and Development (EBED). Your personal information will be shared with them to be processed by their officers and stored securely online in accordance with the GDPR. 

What personal information do we collect? 
When you become a member, you are asked to provide your name, home address, email address, telephone and mobile numbers and your EBU number if you already have one. During your membership, the scores of bridge games you have played at the club are also collected.

How is your personal information used?
Your personal information is used only as necessary for the following:
For administration of your membership
To provide you with LBC, SCCBA and EBU information
To enable planning, organisation and scoring of bridge events
To enable administration of the National Grading Scheme (NGS) and Master Points Scheme.  To facilitate member’s communication requirements, for example to arrange partners, members’ phone number(s) and email addresses will be made available to other club members”

A limited amount of your information (name, EBU number, county, post town) will be listed in the EBU’s database made available for use by scoring programme providers and users. This is to allow the correct identification of players for scoring purposes. Information relating to your NGS grade and master point rank, together with your county of affiliation, will be generally available from the EBU website unless you have chosen for it to be private as described under the next heading.

Your data is also processed securely by BridgeWebs, who act as Data Processors on behalf of the LBC and the EBU. They are not free to pass your information to other organisations. Your information is not passed on by us for use by other third parties. 

How can you ask for your information to be removed, limited or corrected?
You can amend your personal details in both the LGC Members Only section of the club website and the EBU Account section of the EBU website (see below), or alternatively by contacting the LBC Membership Secretary whose details are on the club website and on the club noticeboard.

There are various ways in which you can limit how your data is used. 
You do not need to provide us with your date of birth unless you wish to enter age-limited (junior or seniors) events or gain concessions based on age.
If you do not want your NGS grade to be public, you may choose for it to be kept private. You can change this option as often as you wish (see below).
You may choose not to appear in master point promotions lists.
Any of these options can be implemented for your EBU membership by logging on to www.ebu.co.uk/members and selecting MY EBU -> Account -> My Details, or by ringing 
01296 317200.

How is your data stored?
This information is mainly stored in digital form on computers and password protected. We use the BridgeWebs software as our data processor for this purpose.

How can you check what data we have about you?
If you want to know more about the data we hold about you, you should contact the Chair or the Membership Secretary

How long do we keep your data?
Your information will be stored while you remain a member of the Lewes Bridge Club. It will be deleted once you have informed us that you no longer wish to be a member or if your subscription is unpaid.

Since underlying statistical data, like scores from bridge games, continues to be necessary in relation to the purpose for which it was originally collected and processed, results from events used for the NGS are not deleted by the LBC or the EBU although they will no longer be attributed to a player who does not want their data to be kept. Historical ranking lists and prize lists are required for archiving purposes and names cannot be removed from them.

How can you report a concern about data protection?
If you are concerned about how your information is handled, you should in the first instance contact the Chair of the LBC committee, whose contact details are on your membership list.
