Framfield Bridge Club Privacy Notice

This privacy notice sets out how the Framfield Bridge Club (FBC) will deal with members’ ‘personal information’, that is, information that could identify a member directly or indirectly, in line with the General Data Protection Regulation (GDPR).

FBC collects personal data that is necessary for the purposes of its legitimate interests as a membership organisation and participant in an internationally recognised and regulated, competitive mind sport. For some data, such as that relating to financial matters, the basis for its collection and retention is to comply with our legal obligations. 

What personal information do we collect? 
When you become a member, you are asked to provide your name, home address, email address, telephone and mobile numbers.  During your membership, the scores of bridge games you have played at the club are also collected.

How is your personal information used?
Your personal information is used only as necessary for the following:
For administration of your membership
To provide you with FBC  information
To enable planning, organisation and scoring of bridge events

Your data is  processed securely by BridgeWebs, who act as Data Processors on behalf of the FBC. They are not free to pass your information to other organisations. Your information is not passed on by us for use by other third parties. 

How can you ask for your information to be removed, limited or corrected?
Any changes to your information must be notified by you, by contacting the Secretary on 01825 841066.  You are also asked to update any changed information on the annual membership renewal form.

How is your data stored?
This information is mainly stored in digital form on computers and password protected. 
We use the BridgeWebs and Score Bridge software to record the results of our competitions. 
It is also included on the membership list issued only to FBC members so they can contact each other, for example to find bridge partners.

How can you check what data we have about you?
If you want to know more about the data we hold about you, you should contact the Secretary on 01825 841066.

How long do we keep your data?
Your information will be stored while you remain a member of the Framfield Bridge Club. It will be deleted once you have informed us that you no longer wish to be a member.

Historical ranking lists are required for archiving purposes and names cannot be removed from them.

How can you report a concern about data protection?
If you are concerned about how your information is handled, you should in the first instance contact the Chair of the FBC committee, whose contact details are on your membership list. 

If after this you remain concerned, you can contact the UK Information Commissioner’s helpline 
on 0303 123 1113 or via their website at https://ico.org.uk/concerns/ .
